CougLink, Employer, and Recruiting

Policies & Procedures

 

CougLink is Washington State University’s free online employment resource website for students, alumni, and employers. It is our mission to connect students and alumni to professional full-time, part-time, internship, and on-campus employment opportunities globally through this system. Below you will find Washington State University’s requirements which all employers must meet to be eligible to recruit students and alumni using CougLink.

 

EMPLOYERS USING COUGLINK

Requirements for Employers Creating a CougLink Account

  • All employers must represent an established organization and  have a credible website
  • Employers’ account e-mail must match the organization’s website domain name. Generic e-mail addresses, such as, Gmail, Hot Mail, Outlook, etc. cannot be accepted. This measure is set in place to protect our students, as well as your organization.
  • Missing, inaccurate, or illegitimate information in your registration form could result in a declined CougLink account request.
  • Private parties (i.e. someone unassociated with an established organization for personal employment) cannot be accepted.
  • Employers who do not conform to Washington State law will not be accepted.

 

RECRUITING POLICIES

The Employer Relations program within the Academic Success and Career Center (ASCC) has been developed in accordance with NACE principles to assist employers in the recruitment of qualified candidates, and to provide students and alumni with opportunities to explore internships and career options.

Employers using services and/or facilities of the Employer Relations office for on-campus interviewing, employment listings, candidate referral, career fairs and/or informational sessions are expected to abide by the “Principles for Professional Practice for Career Service & Employment Professionals” as published by the National Association of Colleges and Employers (NACE).

These principles provide three basic precepts to guide career services and recruitment professionals:

  • Maintain an open and free selection of employment opportunities where students can choose optimum long-term uses of their talents.
  • Maintain a recruitment process that is fair and equitable to students and employing organizations.
  • Support informed and responsible decision making by students.

When recruiting, posting jobs, attending career fairs, or hosting information sessions and employer-led events at WSU, employers agree to abide by all policies and guidelines listed on this page. Employers who recruit on our campus must also adhere to Equal Employment Opportunity (EEO) guidelinesthe National Association of Colleges and Employers (NACE) Principles for Professional Practice, and the guidelines established by WSU.

Non-Discrimination

The Academic Success and Career Center (ASCC) at Washington State University is a non-discriminatory organization. The ASCC makes its services available to employers who do not unlawfully discriminate in the selection of employees on the basis of national origin, race, religion, sex, sexual orientation, age, disability, or any other basis prohibited by applicable law. As such, employers must comply with non-discrimination practices. Positions posted on CougLink must comply with all federal and state affirmative action and equal employment regulations. Any organization which does not endorse this policy will be denied use of the ASCC, its resources, and other campus facilities and services.

All Full-Time Job Postings Must:

  • Include detailed job descriptions and expectations
  • Have one posting per position
  • Require a four-year degree and apply to a major(s) offered at Washington State University
  • Be consistent with the missions and values of Washington State University
  • Present no harm to the health and safety of applicants
  • Clearly state forms of compensation
  • Conform to state law

 

EMPLOYER REGISTRATION GUIDELINES

All employers must be deemed a legitimate organization by providing: business name, physical address, domain/company based email account, phone number. Inclusion of a company website is preferred, but it is not required. Registrations must also include the name and contact information for a current company contact.

Student information accessed by employers through the CougLink system may not be sold or otherwise distributed.

The use of CougLink for job postings, event participation, or other recruitment activities are not rights guaranteed to any employer. Access to CougLink services, including job postings, are granted at the discretion of ASCC staff members.

Commission

All positions must offer base pay plus commission. Only full time positions offering commission may be approved through the CougLink system. Any part time or internship opportunities may be granted permission on a case-by-case basis.

No Fees for Applicants

Opportunities that require applicants to invest money as a condition of employment, including, but not limited to: part of a franchise, supplies, application or access fee, pay for trainings or orientation, will not be posted through the CougLink system.

Solicitation

Washington State University is a non-commercial campus. Employers are not permitted to post positions whose duties will involve the on-campus sale of products or services to WSU students, faculty or staff (ex: Campus Brand Ambassador).

International Opportunities

Posting of international job and internship opportunities must follow all the policies procedures as listed above in “Employer Registration Guidelines”. We understand that some internship opportunities may be made available to students who are also participating in a Study Abroad or an Education Abroad experience. The Education Abroad office has formal affiliation agreements and partnerships with many agencies. Students who travel under any affiliation agreement – including study abroad or who are completing an internship abroad for academic credit – must register with the WSU/International Programs Travel Registry.

Internship Opportunities

All internship opportunities must be in compliance with the NACE and Department of Labor criteria. Listings must also be in compliance with” Employer Registration Guidelines” as listed above.

Third-Party Recruiting

The term “third party recruiters” refers to, but is not limited to: employment agencies, staffing services, temporary agencies, on line job boards, recruiters, contractors. Representatives from these companies may post under the following conditions:

  • No fee can be charged to the applicant
  • The name of the hiring company is released to the Employer Relations team as requested in the CougLink employer registration form
  • The hiring company is an Equal Opportunity Employer
  • All jobs, listings, and practices are in line with NACE standards

 

ELIGIBILITY TO USE WSU FACILITIES

The following guidelines are established to determine eligibility of an employing organization or individual to utilize the office of Employer Relations resources within the Academic Success and Career Center at Washington State University or any other facility on the WSU campus. These guidelines apply to all employers offering part-time or full-time student employment or internship opportunities for WSU students. All companies using on-campus facilities or resources must abide by the guidelines listed above.

  • The ASCC, academic departments and all employers they represent are expected to abide by the “Principles of Professional Practice for Career Services & Employment Professionals” as published by the National Association of Colleges and Employers. Thus, the ASCC reserves the right to refuse to list job openings or to host any recruitment organization if the organization is found to have violated one of the Principles for Professional Practice.
  • The staff of the ASCC will investigate all complaints by students and/or faculty regarding job postings, employers, or work assignments. ASCC staff will discuss the matter with the recruiting representative of the organization. If the ASCC determines that a complaint is justified, the office may choose not to post positions or allow the recruiting representatives the opportunity to recruit on our campus in the future. The ASCC will notify the employer of the decision in writing, via email or traditional mail.
